Who can do this: Owners and Managers. Where: Sidebar → Catalog & Pricing → Extras
The one thing to get right#
Add-ons are attached to gear tiers because a case of .68 paint makes no sense to a laser tag customer. PBHQ makes you say which tiers each add-on belongs with.
Organizing with groups#
Add-ons live in groups so checkout doesn't turn into one long list.
Creating a group: on the Extras page, create a group and give it a "Group Name" — e.g., "Protection", "Ammo", "Apparel" — and a "Sort Order".
Add-ons with no group fall under a heading called "Other" — "Add-ons not assigned to a group."
Deleting a group is always allowed. Its add-ons aren't deleted, just ungrouped: Group "{name}" deleted. Its extras are now ungrouped.
Duplicate names are refused: "A group with this name already exists."
Adding an add-on#
- On the Extras page, click to add a new extra (or use the add button on a specific group to pre-select it).
- Fill in the cards below.
- Click "Create Extra".
"Basic Info"#
| Field | What it does |
|---|---|
| "Name" | What customers see — "500 rounds", "Air fill", "Rental mask", "Pizza (large)". |
| "Price ($)" | Price for one unit. Checkout shows it as "$X each". |
| "Description" | Optional detail. |
| "Photo (optional)" | Shown on the add-on's card. |
"Settings"#
| Field | What it does |
|---|---|
| "Group" | "Optional — organizes this add-on at checkout" |
| "Max per Booking" | "Most one customer can add" — stops someone accidentally buying 500 pizzas. |
| "Stock" | "Rentals come back when the booking ends". Two choices: "Unlimited — consumable (paint, food, air fills)" and "Rental — reusable, returns when the booking ends". |
| "Units on Hand" | "Total you own across all bookings" — only appears when "Stock" is set to Rental. |
| "Sort Order" | Position within its group. |
| "Active" | Turn it off without deleting. |
"Activity"#
"Activity" — "This add-on only appears at checkout in the selected activity's booking flow."
"Show For Gear Tiers"#
"This add-on only appears at checkout when the customer selects one of these gear tiers. If none are selected, it never appears in the booking funnel."
Tick every tier this add-on should be offered with.
Consumable vs. rental stock#
Unlimited (consumable) — paint, CO2, air fills, food. PBHQ never counts these. Sell as many as you like.
Rental (reusable) — extra masks, pod packs, jerseys, chest protectors. PBHQ tracks "Units on Hand" the same way it tracks gear: it counts how many are committed to overlapping bookings and stops selling when you're out. They free up when the booking ends.
Validation: a rental with no unit count gives "Enter how many units you own, or set this add-on to Unlimited."
What the list page tells you#
Each row shows a green or grey dot for active, the name and price, an activity badge, and:
- A violet "Rental · {n} on hand" pill for rentals
- One blue pill per linked gear tier
- An amber "Hidden — no gear tiers linked" warning if nothing is linked
That amber pill is your checklist. Nothing on your Extras page should carry it unless you meant to hide it.
What customers see#
Add-ons appear on an "Add Extras" step after gear, grouped under your group names, each showing its price with an "each" label. On the checkout summary they're listed under "Add-ons".
Editing and deleting#
Deleting is refused once an add-on has been sold:
Cannot delete "{name}" — it has existing bookings. Deactivate it instead.
Untick "Active".
