Who can do this: Owners and Managers. Where: Sidebar → Catalog & Pricing → Play Areas → the "Manage gear allocations" icon on an area
Do I need this?#
Probably not. Most fields don't.
Skip it if your gear travels — one shared pile of markers used wherever it's needed. That's the default: every area draws from the same general pool, and the Play Areas page shows "No gear allocations (uses general pool)" next to each area.
Use it if gear physically lives at a specific field and doesn't move — an indoor arena with its own dedicated 20 low-impact markers, for instance. Allocating them stops an outdoor party from booking gear that isn't there.
How to allocate#
- Go to Play Areas.
- Click the gear-allocation icon on the area you want (tooltip: "Manage gear allocations").
- You'll land on "Gear Allocations" for that area, with a table: "Gear Tier" | "Total Inventory" | "Allocated to This Area"
- Enter a number for each tier you want dedicated to this area.
- Click "Save Allocations".
The page explains itself:
"Allocations split a gear tier's inventory between areas. Leave blank to use the general pool (full inventory available everywhere). The sum across all areas cannot exceed a tier's total inventory."
Entering 0 or leaving the box blank removes the allocation, sending that tier back to the
general pool for this area.
Only active gear tiers are listed.
The math#
For each gear tier:
general pool = total inventory − sum of every area's allocation
- Walk-ons always draw from the general pool.
- A party on an area with an allocation for that tier draws from that allocation.
- A party on an area with no allocation for that tier draws from the general pool.
Worked example — 50 markers total:
| Indoor Field 1 allocation | 20 |
| Outdoor Field 2 allocation | 10 |
| General pool | 20 |
A party booked indoors can use at most 20. Walk-ons can use at most 20, no matter how quiet the indoor field is. A party on a third, unallocated field also draws from that same general 20.
Validation#
The sum of all allocations can't exceed the tier's stock:
{Tier name} has {N} total units but {M} would be allocated across areas.
