Promo codes customers type at checkout.

Who can do this: Owners and Managers. Where: Sidebar → Catalog & Pricing → Discounts

Creating a code#

  1. Go to Discounts and click to add a code.
  2. Fill in the cards below.
  3. Save.

"Basic Info"#

Field What it does
"Code" "Auto-uppercased. Unique per field." — what customers type. SPRING25, FACEBOOK10.
"Description (internal note)" e.g., "Facebook Spring 2026 promo" — not shown to customers. Write down where the code was advertised so you can tell later which channel worked.

"Discount"#

Field What it does
"Type" "Percentage" or "Flat Amount".
"Percentage (1–100)" / "Amount ($)" The label changes with the type.

"Scope"#

"Applies To""All Bookings", "Walk-Ons Only", "Parties Only", or "Events Only".

"Allowed Gear Tiers"#

"Restrict to specific gear tiers. Leave all unselected to allow any tier."

"Allowed Party Types"#

"Restrict to specific party types. Leave all unselected to allow any party type."

"Validity"#

Field What it does
"Expiry Date" "Leave blank for no expiry."
"Active" Switch a code off instantly without deleting it.

What the list shows#

Columns: Code, Discount, Applies To, Restrictions, Expires, Status, Uses.

Uses is how many bookings have redeemed the code — your campaign scoreboard. Compare it against where you advertised each code.

How discounts interact with deposits#

A discount reduces the balance, not the deposit. On a party, the customer still pays the package's flat deposit today; the discount comes off what's owed on game day.

If a discount is larger than the balance, PBHQ trims the deposit so the customer is never quoted a negative amount. A flat discount is also capped at the booking total — a $100 code against an $80 booking takes it to $0, not to -$20.

Errors your customers might see#

Message Why
"Invalid discount code." Typo, or the code doesn't exist for your field.
"This discount code is no longer active." You unticked "Active".
Expiry / scope / restriction errors The code exists but doesn't apply to this booking type, gear tier, or package.

Deleting#

Unlike gear tiers and packages, discount codes delete immediately with no guard — Discount code "{code}" deleted. Bookings that used the code keep their discounted price.

Practical patterns#

Channel tracking — a different code per channel (FB10, INSTA10, FLYER10) with the same discount. The Uses column tells you which channel actually produced bookings.

Midweek fill — a percentage code scoped to "Walk-Ons Only". Advertise it for slow days. (PBHQ doesn't restrict codes by day of week, so pair it with an expiry and watch the usage.)

Group organizer perk — a flat-amount code scoped to "Parties Only" with an expiry, given to past organizers to bring them back.
