A gear tier isn't offered#
- Is it Active? Check the "Active" toggle on the tier. Inactive tiers don't appear.
- Is it tagged to the right activity? A tier belongs to exactly one activity and only appears in that activity's flow. This is the most common cause by a distance — a field turns on airsoft and every tier is still tagged paintball.
- Is it sold out for that slot? If enough players are already booked into overlapping sessions, the tier disappears for that time. Try a quieter day to confirm.
- Is it allocated away? If you've set gear allocations, walk-ons only see the general pool — total inventory minus everything assigned to areas.
- Is the party package restricting it? A package's "Allowed Gear Tiers" hides everything not ticked. Leave it empty to allow all active tiers.
An add-on isn't offered#
- Has it got gear tiers linked? "If none are selected, it never appears in the booking funnel." The Extras list shows an amber "Hidden — no gear tiers linked" pill on these. This is the answer roughly every time.
- Did the customer pick a linked tier? Add-ons only appear alongside the tiers they're linked to.
- Is it Active?
- Is it tagged to the right activity?
- Rental out of stock? Rentals stop being offered when the units are committed elsewhere.
A party package isn't offered#
- Is it Active?
- Is it tagged to the right activity?
- Allowed days. "Allowed Days of Week" limits the package. Leave all unselected to allow any day you're open.
- Booking window. "Minimum advance booking (days)" hides the package for dates too soon, and the maximum hides it for dates too far out.
- Are you open that day? Packages can't be booked on days with no operating hours.
- Any allowed play area free? If the package restricts areas and they're all booked, it can't be offered.
A walk-on option isn't offered#
- Walk-On Availability. Settings → "Walk-On Availability". Unchecking every day switches walk-ons off for that activity — it does not mean "any day". This is the second most common cause on this page.
- Activity Availability. Settings → "Activity Availability" may exclude that weekday.
- Is the activity enabled? Settings → "Booking Options" for laser tag and airsoft; the "Active" toggle on a custom activity.
- Any gear? A walk-on with no active gear tier for that activity has nothing to sell.
- Are you open? Check Operating hours.
- Special hours or an event? A closure override or a published event can take out the slot.
A whole activity is missing#
- Enabled? Laser tag and airsoft are toggled in Settings → "Booking Options". A custom activity has its own "Active" toggle.
- Any active gear tier tagged to it?
- Activity Availability may exclude today's weekday.
- Walk-On Availability — if walk-ons are off and you have no party packages for it, there's nothing to book.
A play area isn't offered#
- Is it Active?
- Does the activity match? An area is set to one activity, or "Any". If a laser tag area is tagged laser tag, it won't show for a paintball party.
- Package restrictions. "Allowed Play Areas" on the package.
- Already booked, including your buffer minutes.
- Group cap reached. "Max Concurrent Parties" on the group.
- Field-wide cap reached. "Maximum Simultaneous Private Parties" in Operations.
- Reserved by a published event.
- Closed by special hours.
No times are available on a day#
- Are you open that day? Blank hours means closed.
- Activity or walk-on days may exclude it.
- Fully booked, once buffer minutes are counted.
- A published event may have taken every area.
- Special hours may have closed things.
- Session length vs. hours. A 3-hour package can't fit into a 2-hour window.
An event isn't visible#
- Is it published? Drafts are invisible and reserve nothing. Look under the "Drafts" tab.
- Did publishing fail? If a conflict was found, PBHQ saves it as a draft and tells you which bookings or events overlap.
- Sold out?
- Already started? Registration closes at the event start time.
A discount code is rejected#
- Active?
- Expired?
- Right booking type? Check "Applies To".
- Gear tier or package restrictions may exclude this booking.
- Typo — codes are auto-uppercased, but the letters still have to match.
Still stuck?#
Click "New booking" in the sidebar and walk the funnel yourself. Seeing exactly where the thing disappears usually names the cause immediately.
The pattern behind most of this: "leave it blank to allow everything" is the rule almost everywhere in PBHQ — with one exception, "Walk-On Availability", where blank means off. And add-ons are the mirror image: they need something ticked before they'll ever appear.
