Special hours

One-off overrides of your normal schedule — closing a field for a rain-out, or opening one after hours for a private event.

What special hours are for#

Your operating hours are your normal weekly schedule. Special hours override them for a specific window on specific play areas:

"Override normal operating hours for specific time windows — close areas for rain-outs or unlock them for after-hours events."

Two directions:

  • Closed — take a field out of service. Frozen ground, resurfacing, a private group, a broken air compressor.
  • Open — make a field bookable outside your normal hours, so customers can book it online.

Special hours require play areas. If you haven't set any up, the page shows "No play areas configured" with a "Set Up Play Areas" button. See Play areas.

Creating an override#

  1. Go to Special Hours and click "Add Special Hours".
  2. Fill in the form:
Field What it does
"Status" "Closed" or "Open". Closed is the default.
"Start" / "End" The window. "Times are in {your timezone}. Must be on 15-minute boundaries."
Play area picker Tick every area this applies to. "Select all" and "Clear all" links are provided.
"Priority" "Leave at 0 unless you need this override to take precedence over an existing one."
"Reason" Shown to customers when an area is closed (e.g., "Holiday", "Maintenance"). Leave blank to keep generic.
  1. Save. One override is created per area you ticked, so you can edit or remove them individually afterwards.

Rules#

Rule Message if you break it
Times must land on :00, :15, :30, or :45 "Times must be on a 15-minute boundary."
End must be after start "End time must be after start time."
Minimum 15 minutes long "Duration must be at least 15 minutes."
No contradictory overlap at the same priority "Stacking conflict for: {areas}. An override at this priority already covers this window with a different status. Raise the priority or adjust the window."

Using priority#

Priority resolves conflicts when two overrides cover the same area at the same time.

The usual case: you closed the whole outdoor group all Saturday for weather, then the weather clears at 2pm and you want one field back. Rather than editing the closure, add an "Open" override for 2pm–close at a higher priority. The higher-priority rule wins for that window.

Leave priority at 0 unless you're layering deliberately.

Browsing existing overrides#

Three filter chips at the top: "Upcoming", "Past 30 days", and "All". Each row shows the area, its Open/Closed status, the window, and the reason.

Where else you'll see them#

If special hours apply today (or anywhere in the date range you're viewing), a card appears on your dashboard home headed "Special Hours Today", listing each area with its status, window, and reason, plus a "Manage →" link straight back here.

What special hours don't do#

  • They don't cancel existing bookings. Closing a field doesn't touch reservations already on it — you still need to call those customers. Closing prevents new bookings.
  • They don't change your weekly hours. For a permanent change, edit Operating hours.
  • They don't affect gear stock. Closing a field doesn't free up or reserve markers.
