Operations settings

Timezone, turnaround time between sessions, a cap on simultaneous parties, and your sales tax rate.

Who can do this: Owners only. Where: Sidebar → Business → Settings → "Operations"

What each setting does#

"Timezone"#

Every date and time in PBHQ is interpreted in this timezone — your operating hours, booking start times, when reminder emails fire, and what counts as "today" on your dashboard.

Options: Eastern, Central, Mountain, Pacific, Arizona, Alaska, Hawaii.

Set this before you take a single booking. Changing it later doesn't shift bookings that are already on the calendar.

"Buffer Minutes"#

Help text: "Minutes between sessions for cleanup"

Turnaround time after every booking. PBHQ blocks this many extra minutes before the same gear or the same play area can be booked again.

A 30-minute buffer means a session ending at 2:00 can't be followed by another one starting before 2:30. Set it to whatever it realistically takes you to collect masks, refill air, and reset the field.

"Maximum Simultaneous Private Parties"#

Help text: "Global cap across all play areas. Leave blank for no limit."

The most private parties you'll run at the same moment anywhere on your property — usually limited by how many referees or hosts you have, not by how many fields you own.

Leave it blank if staffing isn't your constraint. You can also cap each play area group separately; see Play areas.

"Sales Tax Rate (%)"#

Help text: "Applied to the amount charged at checkout — the deposit on party bookings. Leave blank if you don't collect sales tax. You are responsible for remitting what's collected. Note: Square receipts show one combined line rather than breaking tax out separately."

One flat percentage — for example 8.25. Leave blank if you don't collect sales tax.

Changes to this card are part of the main settings form. Click "Apply" in the bar that appears at the bottom of the screen.
