What it does#
Normally a player can't be checked in until their waiver is signed digitally. With paper waivers enabled, staff can record that a player signed a physical waiver at the desk, which clears them for check-in.
It's an override for the dashboard, not a replacement for the waiver system.
Marking one player#
- Find the booking — the dashboard home "run of day" table, or the bookings list.
- Click the chevron button on the row (tooltip: "Check in players") to expand the roster.
- On the player's row, their "Check In" button will be greyed out with the caption "Waiver required."
- Click the amber "Paper waiver on file" button beneath it.
- Their Waiver cell changes to a green "Signed — Paper" pill, and "Check In" becomes available.
Marking a whole roster#
Click "Mark all paper on file" in the roster header. It only appears when your field has paper waivers enabled and at least one player is still uncleared.
It skips anyone already cleared, so re-running it never overwrites who recorded a waiver or when.
What marking paper does and doesn't do#
It does not check anyone in. Recording a paper waiver and checking a player in are two separate, deliberate actions — same as with digital waivers. You still tap "Check In".
It doesn't create a document. The Waiver cell reads "Signed — Paper" with no PDF link, because there's no digital file. Your paper copy is the only record — file it and keep it.
It doesn't change their waiver status. PBHQ keeps digital signatures and paper records distinct, so "Signed — PDF" always means there's a retrievable document.
PBHQ records who marked it and when, so you have an internal audit trail of which staff member cleared which player.
The critical limitation#
Practically: a paper-waiver player has to be checked in by staff, from the dashboard. They can't check themselves in at the kiosk.
Should we use paper waivers?#
Digital is better wherever you can manage it. Waivers arrive signed before game day, they're searchable, they're stored as PDFs you can retrieve years later, and nobody queues in your lobby with a clipboard.
Paper makes sense for:
- Walk-ups with no email address
- A phone or internet outage
- Insurers or jurisdictions that require wet signatures
- Fields transitioning to PBHQ that still have paper stock to use up
Many fields run both: digital for anything booked in advance, paper for walk-ups.
