The bookings list

Every reservation you've ever taken, with the filters to find any one of them.

Who can see it: everyone on your team. Where: Sidebar → Operations → Bookings

The heading reads "All Bookings""Browse and manage reservations."

Read this first#

The box is placeholder "Search by customer, party, player, or team name…" and matches four things:

  • The customer name on the booking
  • The party name
  • Any individual player's name on the roster
  • An event team name

When the match came from a player rather than the booking itself, the row shows a second line: "Match: {player name}". That's how you find the booking of somebody whose parent made the reservation.

The search box in the top bar ("Search bookings, players…") drops you straight here.

Filters#

All of them combine, and all update the table instantly.

Filter What it does
Date range From and to. Defaults to today.
"All Statuses" Pending, Confirmed, Checked In, Completed, Cancelled, No Show.
"Any Payment" "Awaiting Payment" — bookings where checkout never completed.
"All Types" Walk-On, Party, Event — Big Game, Event — Tournament.
"All Activities" Only shown if you offer more than one activity.
"All Play Areas" Includes "Walk-On (no area)", grouped by play area group. Hidden if you have no areas.
"All Gear Tiers" Hidden if you have none.

"Awaiting Payment" is not "Pending"#

They look similar and they aren't the same.

  • Status: Pending includes pay-on-site bookings, which are Pending on purpose and owe you nothing until the customer arrives.
  • Payment: Awaiting Payment means the customer went to checkout, never finished, and nobody has recorded a payment. These are the ones to chase.

The table#

Columns: Date, Time, Type, Party, Gear, Extras, Players, Status.

An amber "Custom" pill in the Type column marks a custom reservation, with a tooltip naming who booked it.

50 bookings per page, with "Showing X–Y of N bookings" and "← Prev" / "Next →".

What you can do from a row#

Control What it does
Click the row Opens the booking for editing.
Chevron button ("Check in players") Expands the roster in place, for check-in and waiver actions.
Pencil ("Edit booking") Same as clicking the row.
Trash ("Delete booking") Owners and Managers only. Opens a confirmation: "Are you sure you want to delete the booking for {name} on {date}? This cannot be undone."

When you open a booking from a filtered list and save it, PBHQ returns you to the same filtered view.

Finding things quickly#

You want Do this
A customer booked sometime in the future Search their name, then click "Show all dates"
Everyone owing money "Any Payment""Awaiting Payment", and clear the date filter
Tomorrow's prep list Set both date boxes to tomorrow
This weekend's parties Set the date range, then "All Types" → Party
Whether someone has ever played here Use the Players directory instead — it searches all dates by default
Everyone on one field "All Play Areas" → pick the area
No-shows last month Set the range, then "All Statuses" → No Show
